Terms and conditions

These terms apply to use of the website, account registration, quotations, orders, payments, invoices, ticket delivery, wallet passes, live chat and support.

1. Identity of the company

Legal name: Zandvoort VIP Hospitality B.V. (draft). Trade name: Zandvoort VIP Hospitality.

Registration number and VAT number will be finalised before publication. Registered and postal address: Zandvoort, the Netherlands.

2. Definitions

Account: the customer's personal environment. Affiliate: an approved partner introducing referrals. Package: the purchased hospitality arrangement.

Administrator: an authorised employee with access to the management environment. Consumer: a natural person not acting in the course of a profession or business.

Event, guest, hospitality, customer, supplier, order, organiser, ticket, seller, wallet pass, website and business customer carry their ordinary commercial meaning as further set out in these terms.

3. Applicability

These terms apply to use of the website, account registration, quotations, orders, payments, invoices, tickets, hospitality, wallet passes, live chat, support, affiliate activities and additional services.

Deviations apply only where agreed in writing.

4. Independent position

The company acts as an independent provider and reseller of hospitality packages.

No official relationship with Formula 1, teams, brands, the circuit or the organiser is suggested or claimed.

5. Account registration

The customer must provide correct and complete details and must be at least 18 years old.

The email address must be verified. The password is strictly personal and must be kept confidential.

Misuse must be reported immediately. Multiple misleading accounts are prohibited. The company reserves the right to verify.

6. Account security

Passwords must meet the stated minimum requirements. Two-factor authentication is strongly recommended.

Sessions expire automatically. A notification is sent on new logins. In case of suspicious activity, a temporary security block or additional verification may follow.

7. Blocking and termination of accounts

An account may be restricted in the event of suspected fraud, misuse of payment methods, chargebacks, incorrect personal data, breach of these terms, misuse of live chat, attempted unauthorised access, affiliate fraud, misuse of discount codes, resale contrary to the conditions, a legal request or a security risk.

Blocking is proportionate. The customer is informed where appropriate and may object via customer service. Orders already paid are assessed separately. Statutory rights remain intact.

8. Offer and availability

Inventory is limited and availability can change quickly. A cart does not constitute a definitive guarantee.

Products “on request” are not immediately confirmed. Obvious errors are not binding. Imagery may be indicative and exact hospitality locations may change.

9. Formation of the agreement

An order is final after offer, acceptance, payment, availability check and written confirmation.

A distinction is made between directly confirmed products, products on request, corporate quotations and invoice orders.

10. Prices

Prices are in euros and include VAT unless stated otherwise. Booking fees, payment costs, delivery costs and optional services are shown separately.

Price changes do not apply to orders already confirmed. Obvious pricing errors are not binding. Discounts and affiliate discounts are not cumulative unless stated.

11. Payment

Available payment methods are iDEAL, credit card (Visa, Mastercard, American Express), SEPA bank transfer and corporate invoice after approval.

Payment terms, partial payments, consequences of late payment, collection costs, failed payments, fraud verification and chargebacks are further set out in the order confirmation.

12. Invoice payment

Invoice payment is only possible after approval and any credit check. An advance payment may be required.

In case of non-payment delivery may be suspended and the order may be cancelled once the payment term has been exceeded.

13. Ticket delivery

Delivery takes place digitally via the account, secure link, email, wallet pass, the official ticket app or, where applicable, physically.

Late issuance by the organiser may affect the delivery date. Security checks are performed before delivery. The customer is responsible for providing correct details.

14. Wallet passes

A wallet pass is only a technical carrier. Its validity is linked to the underlying order and the issued entry document.

A wallet pass may be updated, replaced or revoked. A screenshot is not always valid and forwarding may be prohibited. Device issues are not always the seller's responsibility. The original entry conditions continue to apply.

15. Guest details

For certain packages the supply of guest details is mandatory and time-bound. The customer warrants their accuracy.

Name changes are not always possible and may incur costs. Details may be shared with the supplier or organiser for accreditation. Late or incorrect details may affect delivery or access.

16. Open bar and catering

The range may differ per day and location; availability of specific brands is not guaranteed.

Alcohol is served only in accordance with legislation and venue policy, and staff may refuse alcohol service. Dietary requests are subject to availability and allergies must be reported in advance. The customer remains responsible for personal medical risks.

17. Code of conduct

Aggression, intimidation, drunkenness, drugs, weapons, dangerous behaviour, unauthorised trading, commercial resale, misuse of access rights, disruption of the event and breach of circuit rules are prohibited.

In case of breach, access may be refused or withdrawn without any right to a refund.

18. Right of withdrawal

For leisure services provided on a specific date or during a specific period, a statutory exception to the right of withdrawal generally applies.

The exact application is verified per country of sale and stated in the order confirmation.

19. Cancellation by the customer

Orders are in principle final once confirmed. Product conditions may differ and administration fees may apply.

A name change or transfer is possible where permitted. Cancellation insurance is recommended. No refund is due in the event of a no-show.

20. Changes and cancellation of the event

Changes to date, time, location or programme, cancelled sessions, a fully cancelled event, an event without spectators, limited capacity, governmental or safety measures and weather conditions may affect the package.

Handling follows applicable law and the conditions of the organiser and supplier.

21. Force majeure

Force majeure includes extreme weather, pandemic, war, terrorism, strikes, transport disruption, cyberattack, power failure, governmental decisions, circuit closure, decisions by the sporting authority or organiser and supplier failure beyond reasonable control.

22. Refunds

A refund is possible in the cases arising from the law, the product conditions or a decision by the organiser or supplier.

Booking fees and services already delivered may be non-refundable. Refunds are in principle made to the original payment method or by credit note, and may be partial.

23. Chargebacks

The customer contacts customer service first. Unjustified chargebacks may be disputed and evidence may be provided to the payment provider.

The account may be temporarily restricted. Statutory rights remain intact.

24. Affiliates

Admission takes place after review. Brand bidding in search ads without permission, misleading claims, spam and self-referral are prohibited.

Commission calculation, validation period, payout, clawback and termination are set out in the affiliate terms.

25. Live chat and communication

Chats may be stored. A chat does not constitute a final order confirmation.

Agents may never request full card details or passwords. Abuse or insults may lead to termination of the chat. Commercial commitments are confirmed in writing.

26. Privacy

The privacy statement applies to the processing of personal data.

Processing takes place for, among other purposes, account management, orders, payments, tickets, guest registration, invoicing, fraud prevention, support, live chat, affiliates and legal obligations.

27. Administrator access

Authorised employees may consult account data for customer service, order processing, ticket delivery, security, fraud investigation and legal obligations.

Access is restricted and logged. Passwords are not visible and payment card details are not fully visible. Employees are bound by confidentiality and unnecessary access is prohibited.

28. Liability

The company is not liable for decisions by organisers, teams or the circuit, for consequential damage, for lost property, for the customer's own conduct or for technical failures beyond its control.

Liability is limited to the extent permitted by law. Mandatory consumer rights remain unaffected.

29. Complaints

Complaints can be submitted via customer service, quoting the order number and a description of the situation.

Complaints are handled within a reasonable period. Escalation to management and, where applicable, a disputes committee is possible.

30. Intellectual property

Website content, photographs, software, logo and texts are owned by the company or its licensors. Third-party brand names remain the property of their holders.

Copying or reuse without permission is prohibited. Affiliates may use material only within the affiliate terms. No transfer of ownership takes place.

31. Governing law

These terms are governed by Dutch law, without prejudice to the mandatory consumer protection of the country of the consumer's habitual residence.

32. Changes to these terms

A new version is published stating the effective date and, for material changes, with notice to account holders.

Orders already placed remain governed by the version applicable at the time of the order. Previous versions remain available on request.
